This policy explains how Vocetica (“we”, “us”) collects, uses, stores and shares personal data when you visit vocetica.com or interact with our service. We are the data controller. Vocetica operates from the United Kingdom and complies with UK GDPR and the Data Protection Act 2018.

2. What we collect

Form data — name, firm name, email, phone, vertical, message — submitted via contact and audit forms.
Voice data — when you use the “Talk to Sophie” live demo, your voice is processed by our AI provider (Vapi). Audio is not retained beyond the immediate session unless you opt in.
Site analytics — privacy-respecting page views and basic device data via first-party telemetry. No cross-site tracking.
Cookies — strictly necessary cookies only by default. We don't use advertising or third-party tracking cookies.

3. Why we collect it

To answer your enquiry and run the consultation you requested.
To produce the lead audit you ask for.
To improve Sophie's behaviour and the site's usability.

4. Lawful basis

Article 6(1)(b) UK GDPR — performance of a contract or steps prior to entering one — for enquiries and trials. Article 6(1)(f) — legitimate interests — for site analytics where minimal and proportionate.

5. Sharing

We share data only with processors required to deliver the service: Vapi (voice AI), Cloudflare (hosting and email), Stripe (payments when you start a trial). Each is GDPR-compliant. We never sell your data.

6. Retention

Form submissions are retained for 24 months from last contact. Trial billing data is retained for 7 years per UK tax requirements. You can request deletion at any time.

7. Your rights

You have the right to access, correct, delete, restrict, or port your personal data, and to object to processing. To exercise any right, email bruce@vocetica.com. You can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. International transfers

Some processors operate outside the UK. Where they do, we rely on UK adequacy regulations or Standard Contractual Clauses.
